Discuss progress on
implementation and recent lessons from large water events-

Roles and Responsibilities:
- Swim lane process flow diagram needed - Larry Thompson will provide an example.
- DEM contacts Officer of the day, Vice Pres. Of University Services, U Relations, Tim Busse, U Services Communications, DEH, UMPD
- Understanding of Incident Command tree needed. CFLOP and DEM
- Calling trees for departments need work. Who to call. Map of who is in each area. Who to call to unlock doors or receive permission to remove computers/documents
- Access to locked rooms/buildings needs further exploration
- Need to know how to shut off chill water, gas, water and sprinkler system by zones not just at the main shut off. The water will continue to run that is in the sprinkler pipes. Problem for multiple floors or large areas.
- Note areas where cell phones don’t work. More radios if possible.
- Great experience with MAVO
- When do we call MAVO versus calling Districts with truck mount water retraction
- Incident command center on location was needed with check in.
Training Needs:
- DEM is planning training in April for FM groups
- Follow up on FM training for events – Document that Denise was working on. Beth will follow up.
- FM Managers/on call staff training on Incident Command
- Custodial staff training
Information Needs:
- More frequent check in – times. When to pause during an incident and regroup and share information
- Always setup incident command center with working phones and cell phone access
- Need a list of all the equipment that FM (think of as Public Works Dept) has in its inventory both for water events and other emergencies. Include: location and contact to retrieve equipment. For example Truck Mounts, fans, FM has 2 clear response trucks which can get into small spaces and have the ability to extract large amounts of water. Must keep in mind that EHS must be contacted to review type of water to avoid pollution issues.
- Update the WET Task Force Recommendations Document:
- Share with folks who have not seen it.
- Update Water Incident Classification Chart. Class 1 worst case. Class 4 minor.
- Incident Command chart, logistics
- DEM would like to have distinct name tag identification for first responders.
- Check in point for 1st responders: Persons name, unit and need to be in the space is evaluated to avoid having non-essential people wandering around.
- Potential to use Security Monitors in emergency situations.
- Potentially have a credentialing machine on site from DEM.
- Neil to send note to purchasing regarading Wet Emergencies RFP: Vendors are required to have employees wear name tags when they are responding to an emergency. – This was sent to Chip Foster (2/5/13)

- How to share with buildings with labs. Maybe same solutions as issues with open windows.
- Follow up on the
status of a HEAPR request for temperature sensors:
- HEAPR wants cost share over $10,000. Estimated costs of the temperature sensors is $38,000. Looking to cost share with Energy Management and FM before asking for HEAPR funding.
- Determine what would be the best campus wide notification for cold weather preparedness to reduce pipe freezing.
- Screw windows closed. Need to check with Codes. Potential egress issues during a fire?
- Signage create a catchy slogan with water damage. “Your window. Your research”
- Send note to Brad Hoff to share with Bridge, issues with open windows. Note cost to U
- Send note to Dean’s list to share with their staff. Maybe with a catchy phrase as subject line.
- Charge departments for flood damage like in the dorms if negligent. Hit in pocket.
- Contact Tim Busse for potential campaign ideas.
- Leave notice in offices that custodians find window open in. “This could be your research” with a wet event photo.
- Monthly reminder notice to building lists through the bridge meeting.
